Step 1: Group Profile

We start by getting to know the people that you are inviting and establishing a sense of the type of experience you'd like to build. 

  • What type of event is the best match for your group? This could be a 2-3 day sales conference, a week long incentive program, a small team building experience  to enhance camaraderie or an intensive designed as a creative, specific goal oriented work space that is truly "outside the box".  In in case, we will review how to best foster a sense of community among your team and reinforce the culture of your organization. 
  • How many individuals do you anticipate in your group?
  • How often do you intend to offer this event? 
  • Will qualifiers attend on their own, or will their invitation include a guest?
  • How many days/nights would be ideal for your group?
  • What time of year would you like to take your group on their trip?
  • What is the proportion of Business/Networking to Leisure time you are looking for? 
  • Do you have a destination or type of trip in mind? (International, Domestic, Adventure, Golf-Centered, Fishing, Spa Resort)
  • What is the per person budget that you will be working with (We can help you create this estimate if this is your group's first trip).

Once we have created your group's profile, we will begin the Proposal Process.


Step 2: Proposal Generation

Depending on the size and destination list for your group, we will put together 1-3 proposals outlining the basic structure and budget for the program. This proposal will include:

  • A sample day-by-day schedule outlining included meals & group activities.
  • Detailed information about the hotel/hotels for the program including room categories and features.
  • Dining option overview for meals not included in the program (for non-inclusive trips)
  • Detailed inclusion list for the program at the cost established
  • Airfare estimations based on targeted home city to program city studies
  • Full budget detail along with payment schedule.


Step 3: Program Operations/Planning

After a contract has been executed, all pre-trip operations begin. This process may include some or all of the following:

  • Site inspection(s) to the destination for logistical planning and on-site coordination of functions/group activities/meals. Site inspections are an important part of creating a fantastic trip. When we visit the locations prior to the program, we are able to forge relationships with hotel, restaurant & catering managers, transportation companies and also find the 'hidden gems' among tours, dining and local experiences. Through this process we fill in the detail and unique experiences that take your program from run-of-the-mill to "Trip of a Lifetime".
  • Online registration - in the lead up to your program, qualifiers will be provided with a link to register all their details and preferences from their computer or smart phone. Our office staff is available to your participants to answer questions and assist in activity selections.
  • Air Travel Ticketing - Our ticketing agents work with each qualifier individually to book air travel to the destination. Qualifiers will have access to additional agents who can help assist them in planning extensions or pre-trip travel to coordinate seamlessly with the trip. 
  • Real time reporting - We keep our clients regularly updated on the status of all qualifiers registration process and also provide daily or weekly reporting on airfare costs as they are booked.
  • Pre-trip Material Generation - based on the contract, The Parsen Group creates and delivers pre-trip material to your qualifiers prior to the trip. These materials may include: information letters containing details for the destination, travel tips and hotel features, personalized luggage tags or wallets, printed travel itineraries, Program of Events, etc.
